Build a detailed project estimate with line items and send it to your client

Creating an Estimate

A well-organized estimate helps you win jobs and sets clear expectations with your client. Buildero lets you build professional estimates with grouped line items, markups, and optional taxes.

Step 1: Create a New Estimate

From the sidebar, click Estimates then New Estimate. You can also start an estimate directly from a project's Estimates tab.

Step 2: Fill in Client and Project Info

  • Select the Client or add a new one
  • Link to an existing Project or leave it unlinked for a new prospect
  • Set the Estimate Date and an Expiration Date (commonly 30 days)

Step 3: Add Line Items

Line items are the core of your estimate. Click Add Line Item for each task or material:

  • Description — be specific, e.g., "Demo existing tile floor — 350 sq ft"
  • Quantity — how many units
  • Unit — hours, sq ft, linear ft, each, etc.
  • Unit Cost — your cost per unit
  • Markup % — add a profit margin on top of cost
  • Tax — toggle if this line is taxable

The line item total calculates automatically.

Step 4: Group Line Items (Optional)

For larger jobs, group related items together under section headers. Click Add Section to create a group (e.g., "Demo", "Framing", "Electrical", "Finishing"). This makes the estimate easier for clients to review.

Step 5: Add Allowances or Contingencies

Use the Allowance line item type for items where the final cost isn't known yet — like fixtures or tile selections. This keeps your estimate honest while setting a budget placeholder.

Step 6: Write a Cover Note

Use the Notes field to describe your approach, your company's process, what's included, and what's excluded. A clear scope helps prevent disputes later.

Step 7: Preview and Send

Click Preview to review the estimate as your client will see it. When ready, click Send Estimate, enter the client's email, and send. You'll be notified when they view it and when they approve or decline.

After the Client Responds

Once approved, you can convert the estimate to an invoice in one click.
