Tracking Payments

Once you've sent invoices, Buildero helps you stay on top of who has paid and who hasn't — so nothing falls through the cracks.

Invoice Status

Every invoice has one of four statuses:

  • Draft — created but not yet sent
  • Sent — delivered to the client, awaiting payment
  • Paid — payment received in full
  • Overdue — past the due date with no payment

The Invoices list shows all statuses with color-coded indicators. Use the filter tabs at the top to view only Overdue or Sent invoices when you need to follow up.

Viewing Payment Activity

Click on any invoice to open its detail page. You'll see:

  • When the invoice was sent
  • Whether the client has viewed it (with a timestamp)
  • Any partial payments applied
  • The remaining balance due

Marking an Invoice as Paid

If a client pays by cash, check, or bank transfer outside of Buildero, record the payment manually:

  1. Open the invoice
  2. Click Record Payment
  3. Enter the amount, payment date, and method (cash, check, bank transfer, other)
  4. Click Save

The invoice status updates to Paid and the payment is logged in the activity history.

Sending a Payment Reminder

For overdue invoices, send a polite reminder in two clicks:

  1. Open the overdue invoice
  2. Click Send Reminder
  3. Review the pre-written reminder email (you can edit it)
  4. Click Send

Buildero can also send automatic reminders on your behalf. Go to Settings > Invoicing to configure reminder schedules (e.g., 3 days before due, on the due date, 7 days after).

Partial Payments

If a client sends a partial payment, record it using Record Payment and enter only the amount received. The invoice will show the remaining balance and stay in Sent status until paid in full.

Exporting for Your Accountant

Go to Reports > Invoices to export a CSV of all invoices for any date range — useful for monthly bookkeeping or handing off to your accountant.
