Build weekly and monthly crew schedules to plan your jobs in advance

Creating a Schedule

Buildero's scheduling feature lets you plan your crew's work week in advance — so everyone knows where to be and you can catch conflicts before they happen.

Opening the Scheduler

Click Schedule in the sidebar. The default view is a weekly calendar showing your entire crew. Use the Week / Month toggle to switch views. Navigate forward and backward with the arrow buttons.

Creating a Shift

A shift is a planned work period for one or more workers on a specific project.

  1. Click on any empty cell in the calendar grid (or click New Shift)
  2. Select the Project
  3. Select the Worker(s) — you can assign multiple workers to the same shift
  4. Set the Date, Start Time, and End Time
  5. Add an optional Note (e.g., "Bring concrete tools", "Meet foreman at gate")
  6. Click Save Shift

The shift appears as a color-coded block on the calendar. Each project has its own color so you can see at a glance how your crew is distributed across jobs.

Viewing by Project vs. by Worker

Use the View By toggle to switch between:

  • Worker view — rows are workers, columns are days. Great for checking availability.
  • Project view — rows are projects, showing all crew assigned to each job.

Copying a Weekly Schedule

If your crew follows a consistent weekly pattern, save time by copying the previous week's schedule:

  1. Navigate to the week you want to fill
  2. Click Copy Previous Week
  3. Review and adjust any changes before saving

Handling Conflicts

If a worker is scheduled for overlapping shifts, Buildero highlights the conflict in red. Resolve it by adjusting one of the shift times or reassigning the worker.

Notifying Your Crew

After publishing a schedule, click Notify Crew to send each worker a summary of their upcoming shifts via SMS or email. Workers on the Pro and Business plans can also view their schedule directly in Buildero.
