Reviewing and Approving Timesheets

As a foreman or manager, reviewing timesheets keeps your labor costs accurate and makes payroll straightforward. Buildero gives you a clear view of all crew hours with tools to approve, flag, and export.

The Timesheets View

Go to Time in the sidebar to see all time entries. By default the view shows the current week. Use the date range picker to review any period.

You can filter by:

  • Worker — view one person's entries
  • Project — see all hours logged on a specific job
  • Status — filter by Pending, Approved, or Flagged

Reviewing Individual Entries

Click any time entry to see its full detail:

  • Worker name and role
  • Project and date
  • Clock-in and clock-out timestamps
  • Total hours
  • GPS coordinates (with a map preview if location was captured)
  • Any notes the worker left

Entries with GPS flags are highlighted so you can investigate location discrepancies quickly.

Approving Hours

To approve an entry, click the Approve button (checkmark icon). You can also select multiple entries using the checkboxes and bulk-approve with one click.

Approved hours are locked and count toward payroll calculations and project labor cost reports.

Flagging Entries for Review

If something looks off — unusually long hours, wrong project, or location mismatch — click Flag and add a note explaining the issue. The worker or their foreman will be notified to review it.

Editing Time Entries

Owners and Admins can edit any time entry. Foremans can edit entries for their assigned crew. Click Edit on any entry to update the start/end time, project, or role.

Exporting Timesheets for Payroll

When you're ready for payroll:

  1. Go to Time > Export
  2. Set the date range (e.g., the pay period)
  3. Choose the format: CSV (for QuickBooks, Excel) or PDF (for records)
  4. Click Export

The export includes worker name, hours per day, project breakdown, and totals — everything your payroll provider needs.
